The following conditions must be met to allow for editing:
- In order to change a resource or edit its metadata you must have access to the resource and your access role must allow editing. To see what your access role is, select the resource you wish to edit and open the Info panel. The Status pane shows your role for this resource.
- To edit a CERF Resource, you’ll need to check it out from the CERF server. If another user has checked out the resource, you will not be able to edit until the resource has been checked in again. A red check mark next to the resource shows that it is checked out.
- The Edit State of the Resource cannot be Final (no changes can be made)
- The resource cannot have pending signatures. If it is in the middle of a Signature Workflow, you will not be able to edit the resource, and once signed, you will not be able to change the resource.
Right-click menus are context-sensitive; thus the Check Out option will only be enabled if the above conditions are met.
To make changes to a CERF Resource:
- Check out using the Checkout and Edit function to open the resource in editing mode. (Or drag the resource from the CERF Document Tree to the Checked Out Documents pane, which must be in the Left Panel, and then use the Edit button.)
- The resource will open in its native application, which must be installed on the user’s computer. Make changes to the resource using the buttons and menu actions in the application in which it opened.
- When you are finished editing, click the Save button in the application in which the resource opened or select File > Save. Do NOT select File > Save As, because you are saving this back to CERF and do not need to specify a location. (Note, exporting a resource moves a copy from CERF to your computer. If you want to export a file in CERF, drag it to a directory shown in the Local Files pane, which must be in the Left Panel).
- Close the application in which the resource opened.
- Check In the Resource using the Check-In button or right-click and choose Edit > Check In.
