Once you’ve completed editing and are ready for check in (the resource has been saved and closed), you may want to add metadata. If the resource is versionable, you may decide to keep it as versionable for a while while you work on your draft and just allow your changes to overwrite the original rather than create a new version. You can edit metadata and/or change edit state by clicking on the Full Check-In button
on the Main toolbar, the Notebook Entry toolbar, or the Checked Out Documents toolbar. Or right-click on the resource and select Edit > Full Check In.
This launches the Version Resource dialog. If the resource state is Versionable, the radio button for Replace will be selected. The default setting is Version Control, which will create a new version of the Resource. If you want to have your changes overwrite the original, leave the radio button selected for Replace. You can also make the Resource Final. If you want to edit metadata next, leave the checkbox for “Edit Metadata” selected. When you click OK, the Edit Metadata dialog will be launched and you can add/edit metadata. After you edit the metadata, click on Save Metadata. Note: If you do not want to edit the metadata (perhaps you just wanted to change the Edit State), deselect the checkbox for “Edit Metadata” in the Version Resource dialog and click OK.
